Privacy Policy

This policy governs the personal data that Elitesgen, Inc.processes when you visit elitesgen.com, when your institution deploys the platform, or when you interact with one of our teams. Consumer use at elitesgen.org is governed by the Foundation's separate policy posted there.

Who this policy covers

• Visitors to elitesgen.com and our marketing surfaces.
• Institutional administrators who configure and operate deployments.
• End users who participate in the deployed platform under an institutional license.
• Individuals who correspond with our sales, privacy, or security teams.

What we collect

We collect the minimum we need to run the platform and honor our contracts.

• Contact and identity: name, business email, institutional role, and anything else you send us in a form or an email.
• Account and cohort data: roster membership, cohort assignment, and participation status, provisioned by your institution or its directory system.
• Product signals: interaction patterns needed to generate the reports and dimension scores your institution licenses. This is cohort-first; we do not maintain individual surveillance dashboards.
• Technical data: device and browser metadata needed to deliver the service, detect abuse, and meet security obligations.

We do not collect advertising identifiers, contact-book exports, or behavioral-ad attribution data.

Why we collect it

To operate the platform, generate the outcome reports your institution licenses, meet our contractual obligations, and satisfy legal requirements that apply to us or to our customers.

How we store it

Encrypted in transit and at rest. Field-level encryption for sensitive personal data. Primary residency in the United States, with an EU residency option on Enterprise engagements. Retention windows are contracted on the Order Form and enforced in the platform.

Who we share it with

Subprocessors listed at /trust/data-processing. Your institution, per the terms of the license. Regulators or courts where we are legally compelled, with notice to you where permitted. Never behavioral-advertising networks. Never third-party data brokers.

Your rights

• Access to the personal data we hold about you.
• Portability, in a machine-readable format.
• Correction of inaccurate data.
• Deletion, subject to legal retention requirements and your institution's policy.
• Objection to specific processing activities.
• Complaint to a supervisory authority in your jurisdiction.

Requests can be submitted to privacy@elitesgen.com. We respond within five business days and complete verified requests within the timeframes set by applicable law (typically 30 days, extended only where permitted).

International transfers

Where personal data moves across borders, we use Standard Contractual Clauses or an equivalent transfer mechanism. EU residency is available on Enterprise deployments and reduces the need for cross-border transfers at the data layer.

Children's privacy

Our consumer services are generally not directed to users under 13. Institutional deployments that include minors (primarily K-12) operate under FERPA and the parent- or guardian-consent framework required by the customer's jurisdiction. We do not build ad targeting models on data from minors under any condition.

Changes

Material changes are posted at least 30 days before they take effect, with a diff comparing the new version to the current one. Typographic corrections and link updates are handled inline.
